How to create automated reports in QuickBooks

  • Ensure the User Account Access is disabled.
  • Warning: Disabling User Account Control could put your computer’s security at risk.
  • QuickBooks is currently operating.
    • There should be an open company file with a scheduled audit.
    • If you have planned reports for several company files, you should not open any of them.
  • QuickBooks has been upgraded to the most recent version.
  • The company file is only accessible by one person.
  • QuickBooks creates an email address for you.
    • Make sure Outlook is open and running if your email choice is Outlook.
  • Keep QuickBooks going for fast startups is turned off in your preferences. Here’s a guide to help you figure it out.
    • Select Edit, then Preferences from the drop-down menu.
    • Select General from the left menu, then the My Preferences tab.
    • ‘Keep QuickBooks going for fast startup’ should be unchecked. Note that QuickBooks 2018 and later do not have this option.

Create a new report that will run regularly: Before you start scheduling reports, make sure you have an email address linked to QuickBooks. If you haven’t already, do it now. In QuickBooks Desktop, set up your email service. To produce a new scheduled study, follow these steps:

  • Select Scheduled Reports > Schedule Setup from the QuickBooks Reports menu.
  • Choose the report that you want to file. You can opt to submit several reports at the same time. Select Next after you’ve picked your reports.

      • You must assign a password for the report attachments before completing the setup. DO NOT INCLUDE THE PASSWORD IN THE Topic OR BODY OF THE EMAIL FOR SECURITY REASONS.
      • To finish the operation, click Schedule.
  • Check to see if your preferences are right.
      • Select Edit, then Preferences from the drop-down menu.
      • Select Integrated Apps from the left menu, then the Company Preferences tab.
      • Pick Properties after checking Scheduled Reports.
      • Make sure all permissions are selected on the Access Rights page.
      • To finish, tap on OK.
    • A currently scheduled report may be edited or deleted.
      • To change an existing scheduled report, follow these steps:
      • Select Scheduled Reports > Scheduled Report Center from the QuickBooks Reports menu.
      • Select Edit Schedule or Delete from the Action drop-down menu.
      • Remove the checkmark from the Active box to make a Scheduled Report disabled.
